Document digitizing
Document digitizing is a conversion of paper documents of all formats, color and age into electronic form suitable for further editing on the computer. Processed data is stored in most cases in TIFF, PDF, and JPG formats. All the data can be stored as pictures of the documents or processed using the OCR technology (OCR – Optical Character Recognition) into editable text form, for example doc format – Microsoft Word.
Advantages of document digitizing
- Minimal space requirements for archiving. 1 DVD can containt up to 100.000 documents.
- Spaces for paper archive are used alternatively (another office for example).
- Electronic documents can be shared and can be available through the remote access even for more users simultaneously – documents are printed or copied no more.
- Easy and extremely fast search.
- Saving of financial resources for copying and printing of the documents.
- Elimination of annual paper increment.
- No need to work with the original document.
- Minimum risk of damage, loss or unauthorized access to the documents.
- Much more efficient processing of corporate agenda and its control (workflow, history of data access etc.).
- Reduction of manpower for administration and increase of office efficiency.
- Attention to the environment.
